Administrative Assistant - Office of Alumni & Family Relations

Description:

The Office of Alumni & Family Relations delivers a comprehensive program of outreach, events and activities that engage constituents and enhance the University’s reputation and brand. Key to meeting these goals is a staff that is dedicated to the concept of exceptional relationships. Beyond excellent customer service, exceptional relationships are defined by a commitment to acknowledging the value of every constituent; using every opportunity to engage and inform; and nurturing constituents’ interests and support for the University.

The Administrative Assistant for the Office of Alumni & Family Relations is a 34.5 hour/week position, responsible for a range of activities that support the operations of the Alumni office and enhance the University’s relationships with approximately 26,000 alumni, students, parents, friends, donors and volunteers.


Responsibilities:

Answering phones and directing calls
Responding to general alumni email accounts
Providing customer support for online community
Greeting and directing visitors
Receiving and distributing mail
Filing, including setting up and managing electronic and physical files
Maintaining office databases
Preparing and shipping club event materials
Assisting at events
Understanding campus operations and referring constituents as appropriate
Other duties as assigned

Requirements:

The Alumni & Parent Relations Office is a team-oriented environment in which adaptability and dependability are essential. The candidate must have excellent customer service and communication skills, and a proven ability to multi-task, set realistic priorities and anticipate projects. The person in this position must be self-motivated and have the ability to function independently, work well under pressure and meet deadlines. Ability to work occasional evening and weekend events is also required (i.e. Homecoming, Family Weekend, and Commencement).

Knowledge of general office practices expected and experience providing event support is helpful. Familiarity with various filing systems, office equipment and standard office applications including Excel, Microsoft Word, and Power Point is necessary, as well as the ability to learn specialized administrative software to include Raisers Edge and Microsoft Outlook.
