Memorandum 44 - Large Volume Mailing Guidelines

Purpose

To create consistently high quality, cost-effective mailings in a timely manner for the University.

Policy

All mailings above 200 pieces must take advantage of all US Postal Service discounts. All requests for use of the Norwich University Mailing Facility must be submitted to the Supervisor, Mailroom of Norwich University.

Responsibility

The Supervisor, Mailroom of Norwich University and the Director of Printing Services are responsible for all equipment and postal guidelines.

Implementation/Guidelines

Requests for use of the Norwich University Mailing Facility must be sent to the Supervisor, Mailroom of NU on the Norwich University Mailing Requisition. When completing the NU Mailing Requisition, it is necessary to have ready specific information regarding size, quantity, date requirements, etc. The requirements will be analyzed and Supervisor, Mailroom of NU will schedule for the stuffing/inserting, coding and metering of all mail. Departments should notify the Supervisor, Mailroom of anticipated large mailing requirements as far in advance as possible. NOTE: The US Postal Service has implemented strict regulations regarding envelope sizes and how envelopes and return address envelopes are to be printed. Please contact Supervisor, Mailroom for additional information prior to printing.
