Administrative Memorandum 15 - Printing and Publication Guidelines

  1. Purpose

    To create consistently high quality, cost-effective publications in a timely manner for the University's printing requirements.

  2. Policy

    All requests for printed material must be submitted to the Director of Publications of Norwich Printing Services.

  3. Responsibility

    The Director of Publications of Norwich Printing Services is responsible for all in-house and out-of-house printing.

  4. Implementation/Guidelines

    Requests for reproductive services begin by conferring with the Director of Publications at Printing Services (Ext. 2110) located in Flint Hall, Norwich Campus. When meeting with the Director it is desirable to have ready specific information regarding size, quantity, re-run with changes, delivery requirements, etc. Samples of previous jobs and dates of work done are especially helpful. Samples of paper, typefaces and printed pieces are on hand at Printing Services for reference.

    Requirements will be analyzed and a Printing Requisition filled out. Most reproductive services can be produced in-house and are more cost effective than outside printing. If a job is to be done out-of-house the Director will request competitive bids from several reputable printers and process the job.

    Satellite Copy Machines: Copy machines, located throughout the University's campuses, may be used when less than 20 copies per original are required. Service calls and copier paper requests are handled by Printing Services. Please telephone ext. 2110 regarding service or copier supplies.

    Quick Copy Services: Generally same or next day quick copy service is available at Printing Services for quick copy needs. Quantities of 1 to 1000 can usually be turned around the same day.

    Offset Printing: Most offset printing jobs require a two week lead time to produce. Rush jobs will be charged as such and may required sending work out-of-house at higher costs. Printing Services offers in-house typesetting, mechanicals (paste-ups), camera work and design services for publications, reports, etc., fulfilling pre-press requirements.

    Desktop Publishing: Norwich Printing Services is moving toward desktop publishing. At present, Printing Services is able to accept copy on disk generated from WordPerfect software. Copy provided on disk can be transformed into an attractive format, be it a memo, brochure or a complete manuscript. Other compatible software may also be acceptable. Check with the Director.

    University Letterhead, Envelopes & Business Cards: There is only one authorized format for Norwich University, refer to Graphics Standards Manual (pdf document) for detailed information. Envelopes will not be "personalized" by department without approval. The approved format for these items is on file at Printing Services.
